This document details the basic general information that the exhibitor should know. It is an operational guideline that will allow you to plan the assembly and disarmament of the stand, the hours of operation, the modality of entry, the security and other essential aspects of the Fair.

ESTIMATED EXHIBITOR:
Here are some points to consider for your correct participation in FIT 2022.

PARKING

Each stand has a pass to differentiated value in the parking lot of La Rural, which must process without exception prior to the opening of the fair, during the assembly process.

STANDS WITH BASIC ASSEMBLY

They will be delivered to the exhibitor on September 30 at 12:00 noon. They must be disassembled within 2 hours after the end of the exhibition.

LIABILITY INSURANCE

The exhibitor must contract with first-line insurance companies that cover all the risks described, for all the time in which the space is in possession, including the construction and disarmament of the same. The certification of this insurance must be presented when taking possession of the space. This insurance must cover the comprehensive Civil Liability arising from damages caused to third parties due to the activity that the insured carries out within the property. The coverage amount must cover damages for a total sum insured not less than US $ 150,000 with a franchise of US $ 2,500 per event.
You can contract this insurance on your own with the company you trust and that operates normally. In case you want to delegate this organization to this organization, you can join the general policy as co-insured, for this we need you to send us the order by mail and thus proceed to bill you. This invoice must be paid before entering the assembly.

ASSEMBLY / DISARM

During these periods the safety of all the components of your stand and personal effects will be under the care and responsibility of each exhibitor.

PRE-ENTRY

The exhibitor has a period of 30 minutes before the opening of the fair to enter freely. If for any special reason you need to generate an income of 60 minutes prior unfailingly you must complete the procedure in writing in Attention to Exhibitors with 24 hours. of anticipation. Otherwise, you will not be able to enter the pavilion.

FIRE EXTINGUISHER

By a provision of La Rural it is mandatory to have a fire extinguisher or extinguisher “ABC” of 5 kilos in spaces of more than 50 m2. When the surface exceeds 200 m2 they must have a minimum of 2 units in the lot.

LOAD / UNLOAD MATERIALS

These operations have a period WITHOUT COST on the internal beach of the property, which varies according to the type of vehicle (point 12.1.3. Exhibitor Regulations), then La Rural will invoice without exception according to current costs.

CREDENTIALS

For the issuance of credentials it is indispensable to attach proof of ART of the affected persons or Personal Accident Insurance for an insured sum for death or disability of $1,000,000 and $50,000 for medical and assistance expenses.
The certificates submitted must include a non-repetition clause in favor of La Rural S.A. CUIT: 30-69758304-8 and Ferias Argentinas S.A. CUIT: 30-70771425-1, FAEVYT CUIT 30-54442979-1 and AVIABUE CUIT 30-59117715-6.

STEP THREE: FORM THE WORK TEAM

For customer service it is convenient to select vendors who know the products and services offered by your company, as well as the purpose of their participation.
Distribute the tasks that each person will do and communicate them clearly.
If you hire someone just for this occasion, be sure to prepare them properly.

FOURTH STEP: DESIGN A COMMUNICATION AND PROMOTION PLAN

Publications of notes on websites and specialized graphic media.
Graphic advertising (Exhibitor Catalog, newspapers and magazines).
Digital advertising (banners on other sites).
Social Media and Community Management.
Production of printed material to distribute at the stand (brochures, own catalogs, etc.)
Promotional activities complementary to your participation: conferences, talks, tastings, etc.
Provide the necessary material to make the previous calls and invitations to attend the stand during the fair days.

FIFTH STEP: POTENTIATING COMMERCIAL RELATIONS

Personal invitations
Telephone calls or telemarketing.
Mailing / Social Media.
Direct mail shipments.

PUNTUALIDAD para abrir y cerrar el stand. Es conveniente que usted y su equipo de trabajo ingresen al predio con suficiente tiempo para revisar las instalaciones.
ORGANIZACIÓN del stand. Antes de abrir el stand, reúna a su equipo de trabajo y repase la distribución de tareas y el cronograma de actividades a realizar durante cada jornada.
RESPETO por el tiempo de sus clientes. Cumpla con la agenda de citas que organizó y aproveche cada minuto para difundir las características de su empresa, de sus productos y/o servicios. Utilizar el tiempo justo para cada visitante. Optimizar el tiempo es invertir en resultados. Centrarse en el público objetivo, recogiendo sus datos para contactarles posteriormente.
CALIDAD de sus productos y servicios. Compruebe el estado y funcionamiento de su mercadería antes de la apertura al público.
PREVISIÓN de futuras ventas. Recuerde pedir a las personas que visiten su stand los datos necesarios para volver a comunicarse con ellos una vez finalizada la Feria.
RECORDAR que no tiene más éxito el que más ruido hace, sino el que mejor ha segmentado a su público objetivo y ha realizado sus acciones comerciales y de marketing correspondientes.
NO DESARMAR ni abandonar el stand antes del cierre de la feria. La imagen de la empresa o destino puede verse muy perjudicada.

REÚNA a su equipo de trabajo y haga un balance, teniendo en cuenta los objetivos planteados al comienzo.
LEA y sistematice los datos obtenidos de los visitantes al stand para visualizar un primer panorama de los resultados conseguidos (cantidad y calidad de visitantes, nuevos contactos, etc.).
INICIE la comunicación con sus nuevos contactos lo antes posible aprovechando la proximidad del evento. Continúe la campaña comunicacional que había iniciado, difundiendo los resultados de su participación en la feria.
PLANTEE las acciones de seguimiento a realizar en prensa, clientes, nuevos compradores, nuevos agentes, etc.
HAGA balance de su Campaña de Promoción, Publicidad y Dossiers de Prensa.
RESERVE su espacio para la siguiente edición de la FIT.
