This document details the basic general information that the exhibitor should know. It is an operational guideline that will allow you to plan the assembly and disarmament of the stand, the hours of operation, the modality of entry, the security and other essential aspects of the Fair.

Here are some points to consider for your correct participation in FIT 2024.

OFFICIAL SUPPLIERS

To ensure the highest quality standards we work with official suppliers that are periodically audited, check here.

STANDS WITH BASIC ASSEMBLY

They will be delivered to the exhibitor on September 25 at 12:00 noon. They must be disassembled within 2 hours after the end of the exhibition.

LIABILITY INSURANCE

FIT has taken out general insurance for the entire fair. It is optional for each exhibitor to contract this insurance individually, but not mandatory.

PERSONAL ACCIDENT INSURANCE

If you do not have ART or Personal Accident Insurance as requested to receive your credential, you can manage insurance for the duration of the event with any of the companies that offer it today, online. You should only take into account the amounts requested by La Rural and the clauses of non-repetition.

ASSEMBLY / DISARM

During these periods the safety of all the components of your stand and personal effects will be under the care and responsibility of each exhibitor.

PRE-ENTRY

The exhibitor has a period of 30 minutes before the opening of the fair to enter freely. If for any special reason you need to generate an income of 60 minutes prior unfailingly you must complete the procedure in writing in Attention to Exhibitors with 24 hours. of anticipation. Otherwise, you will not be able to enter the pavilion.

FIRE EXTINGUISHER

By a provision of La Rural it is mandatory to have a fire extinguisher or extinguisher “ABC” of 5 kilos in spaces of more than 50 m2. When the surface exceeds 200 m2 they must have a minimum of 2 units in the lot.

OPTIONAL ADDITIONAL SERVICES WITH CHARGE

Additional energy: It is requested through Form 1: Technical Sheet, and has a cost of $AR 6,000 + VAT for the additional kW
Water and Sewer Connection: It is requested through Form 1: Technical Sheet, and has a cost of $AR 26,000 + VAT for each connection. You must provide a plan detailing the location on the gutter. To request a technical plan with the location of the gutter on your lot, please request it to  fit.tecnica@gmail.com. *Values ​​as of August 1, 2023.

LOAD / UNLOAD MATERIALS

These operations have a period WITHOUT COST on the internal beach of the property, which varies according to the type of vehicle (point 12.1.3. Exhibitor Regulations), then La Rural will invoice without exception according to current costs.

CREDENTIALS
For the issuance of credentials it is indispensable to attach proof of ART of the affected persons or Personal Accident Insurance for an insured sum for death or disability of $1,000,000 and $500,000 for medical and assistance expenses.
The certificates submitted must include a non-repetition clause in favor of La Rural S.A. CUIT: 30-69758304-8 and Ferias Argentinas S.A. CUIT: 30-70771425-1, FAEVYT CUIT 30-54442979-1 and AVIABUE CUIT 30-59117715-6.

Exhibitor Advice

BEFORE TH FAIR

FIRST STEP: DETERMINE THE OBJECTIVES

  • Attract new customers.
  • Strengthen the relationship with your regular customers.
  • Start or specify business and sales processes.
  • Expand your market share.
  • Position your brand.
  • Promote new products and services.
  • Analyze your market position in relation to the competition.
  • Strengthen your contacts and improve institutional relationships.

STEP TWO: ASSEMBLE THE STAND

  • It is convenient that your stand is easily accessible and allows the free movement of visitors.
  • Consider the different possibilities according to your needs and aspirations: own design or a basic model stand.
  • Prepare the stand equipment modality in advance: transport, handling and storage of the merchandise you are going to exhibit.
  • Remember to provide the necessary security and cleaning services.
  • For greater energy savings it is suggested to perform the electrical installation with a minimum of 2 circuits with their corresponding cut-off keys and avoid installing excessive lighting that may be unnecessary.

STEP THREE: FORM THE WORK TEAM

  • For customer service it is convenient to select vendors who know the products and services offered by your company, as well as the purpose of their participation.
  • Distribute the tasks that each person will do and communicate them clearly.
    If you hire someone just for this occasion, be sure to prepare them properly.

FOURTH STEP: DESIGN A COMMUNICATION AND PROMOTION PLAN

  • Publications of notes on websites and specialized graphic media.
  • Graphic advertising (Exhibitor Catalog, newspapers and magazines).
  • Digital advertising (banners on other sites).
  • Social Media and Community Management.
  • Production of printed material to distribute at the stand (brochures, own catalogs, etc.)
  • Promotional activities complementary to your participation: conferences, talks, tastings, etc.
  • Provide the necessary material to make the previous calls and invitations to attend the stand during the fair days.

FIFTH STEP: POTENTIATING COMMERCIAL RELATIONS

  • Personal invitations
  • Telephone calls or telemarketing.
  • Mailing / Social Media.
  • Direct mail shipments.
DURING THE FAIR
  • PUNCTUALITY to open and close the stand. It is advisable that you and your work team enter the property with enough time to review the facilities.
  • ORGANIZATION of the stand. Before opening the stand, gather your work team and review the distribution of tasks and the schedule of activities to be carried out during each day.
  • RESPECT for your clients’ time. Stick to the appointment schedule you organized and take advantage of every minute to disseminate the characteristics of your company, its products and/or services. Use the right amount of time for each visitor. Optimizing time is investing in results. Focus on the target audience, collecting their data to contact them later.
  • QUALITY of your products and services. Check the condition and operation of your merchandise before opening to the public.
  • FORECASTING future sales. Remember to ask people who visit your stand for the necessary information to contact them again once the Fair is over.
  • REMEMBER that it is not the one who makes the most noise that is more successful, but rather the one that has best segmented its target audience and carried out the corresponding commercial and marketing actions.
  • DO NOT DISASSEMBLE or leave the stand before the close of the fair. The image of the company or destination can be greatly damaged.
AFTER THE FAIR
  • GET your work team together and take stock, taking into account the objectives set at the beginning.
  • READ and systematize the data obtained from visitors to the stand to visualize a first overview of the results achieved (quantity and quality of visitors, new contacts, etc.).
  • START communication with your new contacts as soon as possible, taking advantage of the proximity of the event. Continue the communication campaign that you had started, disseminating the results of your participation in the fair.
  • PRESENT the follow-up actions to be carried out in the press, clients, new buyers, new agents, etc.
  • TAKE stock of your Promotion Campaign, Advertising and Press Kits.
  • RESERVE your space for the next edition of FIT.
